Transparency is essential to our mission. Through our technology-driven dashboard, we offer stakeholders real-time access to project updates, financial information, and reports. This transparency extends to our internal policies, including our Governance Policies, Code of Ethics, Membership Policy, People Management Guidelines , Complaints Handling Policy, and Financial and Accounting Procedures Policy, which collectively ensure that our actions align with our mission and values.

Ethics alert and reporting channels

To reinforce our commitment to ethical conduct, we offer an ethics alert channel for reporting concerns anonymously. This whistleblowing channel is available to anyone associated with LUkraine, including employees, contractors, and board members. LUkraine’s Protection from Sexual Exploitation and Abuse (PSEA) policy underscores a firm commitment to safeguarding the dignity, rights, and well-being of all individuals engaged in or affected by its operations. The policy emphasizes zero tolerance for any form of sexual exploitation and abuse, setting clear standards of conduct for all staff, volunteers, and partners. LUkraine proactively addresses risks by implementing comprehensive preventive measures, including staff training, awareness campaigns, and rigorous reporting and response protocols. This policy also ensures a safe, confidential, and supportive environment for survivors, encouraging them to come forward without fear of retaliation. Job Summary

The Fundraising Partnerships Manager at LUkraine ASBL plays a crucial role in attracting financial support and establishing partnerships to implement the organization’s humanitarian, educational, and other projects.

Key Responsibilities:

  • Attracting Partners: Identifying, establishing, and maintaining relationships with companies, foundations, and individual donors.
  • Developing Partnership Programs: Creating proposals for and expanding collaborations with commercial organizations locally and internationally to increase funding sources for the organization, focusing on sponsorship, charitable contributions, and corporate social responsibility (CSR) initiatives.
  • Managing Relationships: Negotiating agreements, preparing contracts, and maintaining communication with partners.
  • Researching and Securing Grants: Proactively identifying global, EU, and Luxembourgish grant opportunities for non-profits, leading the full preparation of documentation, and ensuring timely submissions.
  • Organizing Fundraising Events: Contributing to the development of campaigns, events, and other initiatives to raise funds.
  • Enhancing Donor Engagement: Managing donor relations by keeping databases updated, ensuring personalized communication, and maintaining consistent engagement strategies.

We are looking for a creative and detail-driven Digital Content & Community Manager who will lead our day-to-day storytelling across social media — through text, visuals, and especially video. This role combines copywriting, social media strategy, and basic video production. You’ll bring our projects, people, and impact to life, making sure our voice is strong, consistent, and engaging across all platforms.

Your work will help us inform, inspire, and grow a community of supporters for Ukraine.

Key Responsibilities:

  • Create, schedule, and publish content for social media platforms (Facebook, Instagram, LinkedIn, YouTube).

  • Write sharp, compelling copy in English at a high professional level, adapted to various formats (captions, posts, stories, ads).

  • Capture and edit short video content for social media: interviews, event clips, behind-the-scenes, impact stories.

  • Organize on-site video shoots (mobile or DSLR), including basic lighting, framing, and sound.

  • Edit videos using tools like CapCut, Adobe Premiere, Canva, or similar (short-form content especially).

  • Translate key events, updates, and reports into engaging multi-format content.

  • Follow a structured content calendar in line with marketing campaigns and organizational priorities.

  • Maintain full alignment with our brand tone of voice and visual guidelines.

  • Launch and manage Meta Ads campaigns to promote events, initiatives, or fundraising efforts.

  • Track key content metrics and produce regular performance reports with insights and suggestions.

  • Actively manage our community: reply to comments and messages, encourage engagement, monitor reputation.

  • Work closely with designers, project managers, volunteers, and external partners to gather materials and coordinate campaigns.

What You Need

  • Proven experience in content creation and social media management.

  • Excellent writing skills in English — clear, engaging, and emotionally intelligent.

  • Hands-on experience with video recording and editing for social media (Reels, Shorts, Stories).

  • Proficiency with tools like Canva, CapCut, Adobe Premiere, or similar.

  • Strong understanding of Facebook, Instagram, LinkedIn — both organic and paid content.

  • Eye for visual storytelling and attention to brand tone and aesthetics.

  • Ability to manage multiple priorities and deadlines with attention to detail.

  • Familiarity with paid social campaigns (especially Meta Ads Manager).

  • A proactive, collaborative spirit and sensitivity to humanitarian communication.

The employee is engaged as Operational Director within the non-profit association LUkraine ASBL, without prejudice to future reassignment according to their professional and personal aptitudes and/or the needs of the employer.

The Operational Director is responsible for the overall coordination, implementation, and supervision of the association’s operational activities, ensuring that strategic objectives defined by the Board of Directors are efficiently translated into day-to-day actions.
The position includes defining, monitoring, and continuously improving key operational performance indicators (KPIs) to ensure transparency, efficiency, and measurable impact across all activities.

Key Responsibilities:

1. Operational Management
  • Oversee daily operations of the association in Luxembourg and abroad.
  • Ensure effective coordination among departments, projects, and volunteers.
  • Supervise the operational team, assign responsibilities, and monitor performance.
  • Develop and implement internal procedures to optimize workflow and accountability.
  • Establish and maintain operational dashboards to track progress toward organizational goals.
2. Strategic Execution
  • Translate the strategic goals of the Board into operational plans and measurable outcomes.
  • Support the design and implementation of annual action plans and budgets.
  • Contribute to long-term organizational development and sustainability.
  • Ensure alignment between operational priorities and strategic objectives through regular KPI reviews.
3. Definition and Improvement of Operational KPIs
  • Define, implement, and periodically review Key Performance Indicators for operations, projects, and teams.
  • Develop data-driven systems to measure efficiency, impact, and resource allocation.
  • Identify gaps and propose corrective or improvement actions based on KPI analysis.
  • Present regular KPI and performance reports to the Board of Directors.
  • Promote a culture of continuous improvement and accountability within the team.
4. Financial and Administrative Oversight
  • Ensure operational expenses align with approved budgets.
  • Support the Treasurer in monitoring expenditures and financial reporting.
  • Oversee procurement, logistics, and asset management.
  • Ensure compliance with Luxembourgish ASBL law and internal regulations.
5. Human Resources & Team Leadership
  • Supervise and mentor staff, interns, and volunteers.
  • Organize recruitment, onboarding, and training processes.
  • Maintain a positive, inclusive, and productive work environment.
  • Coordinate internal communications and staff meetings.
  • Encourage data-driven evaluation of individual and team performance.
6. Project & Program Coordination
  • Ensure effective implementation of humanitarian, educational, and advocacy projects.
  • Supervise project timelines, deliverables, and impact assessments.
  • Liaise with partners, donors, and institutions for project coordination.
  • Integrate performance metrics into project management practices.
  • Prepare operational reports and updates for the Board and funders.
7. External Relations & Representation
  • Represent the association in operational meetings with public authorities, partners, and suppliers.
  • Support communication and public outreach activities as required.
  • Ensure visibility of LUkraine’s initiatives within Luxembourg and internationally.
8. Compliance & Risk Management
  • Monitor compliance with ASBL regulations, data protection, and health & safety policies.
  • Identify operational risks and implement preventive or corrective actions.
  • Ensure periodic review of procedures and controls in line with KPI results.

Skills & Competencies

  • Strong organizational and leadership abilities.

  • Analytical mindset and familiarity with KPI-driven management.

  • Excellent communication and interpersonal skills.

  • Proven experience in NGO or non-profit operations management.

  • Good understanding of Luxembourgish administrative and legal frameworks.

  • Fluency in English and French (Ukrainian and/or Luxembourgish are assets).

  • Proficiency in project management, data analytics, and office software tools ( Microsoft Office and/or Google Workspace, experience with CRM is an advantage.

Reporting & Evaluation

The Operational Director reports directly to the President and the Board of Directors.

Performance is evaluated based on:

  • Achievement of operational and strategic objectives.
 
  • Efficiency of internal management and workflow.
 
  • Definition, monitoring, and improvement of operational KPIs.
 
  • Transparency and timeliness of reporting.
